The General Ledger System allows you to create, change, and delete Journal
Entries and accepts Journal Entries from other systems such as Accounts
Payable, Accounts Recievable, and etc.. The sysetm allows for tracking
Journal Entries from other systems by source codes provided by each subsystem.
The General Ledger System automatically creates a code you can use for
general journal entries and does not accept any journal entries from other
systems with that source code.
When you access Journal Entries, you will be prompted with a list of
sources to choose from. This allows you to work with journals from other
sources as well and general journal entries.
Excluding related comments, there are to record types that make up a
journal entry.
| Journal Entry: |
Defines the Journal Entry in terms of date, source, description
and source reference.
|
| Journal Detail: |
One or more records per Journal Entry representing a
the distribution of amounts to the various general ledger accounts.
With in the documentation, these records may be referred to as journal
legs. |
Journal entry is accomplished using the Work with Journal Entry display.
From this display you can enter both the Journal Entry Record and the
Journal Detail records. Also shown on the display is the net balance of
the journal entry.
When you have completed entry of the Journal Entry and insured that its
net balance is zero, you must post the J/E. The system will not let you
post a J/E that is out of balance. All Journal Entries for an accounting
period must be posted before you can close the period.
Unposted Journal Entries are not reflected on any reports or inquiry
displays. They will be immediately reflected on any inquiries, reports,
and account balances as they are posted.
